The Complete Guide to Ses Hospedajes Guest and Reservation Registration Requirements in Spain
Operating a short-term rental or hotel in Spain? Then you’ve likely heard about Ses Hospedajes, the newly launched system for registering guests. But here’s the catch, it’s not just about guests. Every reservation must also be reported, and missing either step could put your property at risk.
In this guide, we’ll walk you through what Ses Hospedajes is, what’s required by law, and how to avoid the most common compliance mistakes.
What Is Ses Hospedajes?
Ses Hospedajes is Spain’s new national traveler registration platform, operated by the Guardia Civil (ses.hospedajes). It was created under Royal Decree 933/2021, which came into effect to replace older, decentralized methods of traveler reporting.
The aim? To create a centralized, digital system for tracking who is staying where and when, helping law enforcement ensure public safety, regulate tourism, and detect unlawful activity in the lodging sector.

Who Needs to Comply?
Whether you're renting a rural guesthouse in Andalusia or managing a portfolio of holiday apartments in Barcelona, if you're providing temporary lodging, you must comply.
This includes:
Vacation rentals (VUT)
Hotels, hostels, and guesthouses
Bed & breakfasts
Rural tourism stays
Campgrounds and glamping setups
Importantly, the booking channel doesn’t matter — you’re responsible for compliance whether guests book via Airbnb, Booking.com, or directly on your own website.
The Three-Step Reporting Requirement
A common mistake among property owners is assuming that you only need to register guests. In reality, you must report both the reservation and the individual guest data — and in the right order.
Step 1: Register Your Establishment
Before you can report any stays, you must register your property on the Ses Hospedajes platform.
You'll need to provide:
Identification of the accommodation
License and address details
Responsible party's identity (e.g., property manager)
Once approved, you’ll receive credentials allowing you to submit traveler data. Read more about how to obtain access in our support article here.
Step 2: Submit Reservation
The platform that retrieves the reservation has the obligation to sync the reservation, no longer then 24 hours after confirmation, through the ses-hospedajes platform. Syncing the reservation, it must contain the following data:
Check in Date / Time
Check out Date / Time
Reservation Number (The reference)
Price of the reservation
Payment Method
Property Type (Fixed list)
Amount of Guests
Information of the booker (First name, last name, etc)
Address of the property (including the municipality code).
In the case you accepted the reservation directly, you have to take care of the reservation registration yourself. Again the reservation registration is not the same as guest registration, these are two seperate things.
Step 3: Register your guests
No later than, 24 hours after the reservation has started, based on youor checkin date/time, you must have submitted the guest details. Each guest is required to provide the following data:
First name
Last name
Second last name (only if identifying with document type NIF).
Email
Phone
Gender
Date of Birth
Kinship (if guest is a minor).
Document Type (Pasport, NIE, NIF or ID-Card).
Document Number
Document Support Number (only with document type NIF).
Nationality
Once the data has been collected this needs to be sync'd with ses.hospedajes.
Penalties for Non-Compliance
Failure to comply with Ses Hospedajes regulations can result in serious fines, ranging from €601 to €30,000, depending on the violation.
Additional consequences may include:
Loss of license or tourism registration
Legal action
Unannounced inspections from law enforcement
Common Mistakes and How to Avoid Them
❌ Only submitting guest data: You must also submit reservation data
❌ Reporting after check-in: Submissions must be made before guest arrival
❌ Missing required ID fields: Ensure the right fields are collected for the document type
❌ Assuming platforms handle this for you: Airbnb and other OTAs do not report traveler data to Ses Hospedajes — it’s your legal responsibility
